Full-time Administrative Assistant

### Job Description

An Administrative Assistant supports managers, executives, and other staff by performing various administrative tasks. This role is crucial for ensuring the smooth operation of the office by handling essential tasks such as scheduling, correspondence, data entry, and office organization.

### Responsibilities

- Office Management:
- Maintain and organize office files, records, and documents.
- Order and manage office supplies and inventory.
- Ensure the office environment is clean, orderly, and well-maintained.

- Scheduling and Coordination:
- Manage calendars and schedule meetings, appointments, and travel arrangements.
- Coordinate events, conferences, and meetings, including preparing materials and booking venues.

- Communication:
- Answer and direct phone calls, emails, and other communications.
- Draft, proofread, and distribute letters, memos, and other correspondence.

- Data Entry and Record Keeping:
- Enter and update data in various systems and databases.
- Maintain accurate and up-to-date records and filing systems.

- Support to Staff:
- Assist with the preparation of reports, presentations, and spreadsheets.
- Provide administrative support to various departments as needed.

- Customer Service:
- Greet and assist visitors and clients in a friendly and professional manner.
- Handle inquiries and provide information about the organization.

- Financial Administration:
- Process invoices, expense reports, and other financial documents.
- Assist with basic bookkeeping and financial tasks.

### Skills

- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Attention to detail and accuracy.
- Ability to multitask and prioritize tasks effectively.
- Strong problem-solving and decision-making abilities.
- Ability to work independently and as part of a team.

### Education

- HND or B.Sc. in Business Administration
- Associate’s or Bachelor’s degree in Business Administration or a related field (preferred).

### Experience

- Previous experience as an Administrative Assistant or in a similar role (preferred).
- Experience with office management software and tools.
